ABOUT THE JOB

As Skin Pharm continues to scale with intention, we are seeking an Operations Manager to support the systems, processes, and people that power our growing network of clinics. This role ensures operational excellence, efficiency, and consistency across all locations, building scalable structures that allow our teams to deliver the exceptional Skin Pharm experience every day.

The ideal candidate combines a data-driven mindset with strong leadership skills and a deep understanding of clinic operations. You’ll partner closely with Regional and Practice Managers, People, Finance, and Marketing teams to streamline processes, enhance communication, and drive performance.

Your North Star: Ensure every clinic runs efficiently, teams are supported with clear processes and resources, and the Skin Pharm experience is delivered seamlessly across every market.

Key Responsibilities

Operational Strategy & Execution
  • Implement and continuously improve systems, workflows, and SOPs that drive clinic efficiency and consistency.
  • Build and track key performance metrics (KPIs, dashboards) to monitor business performance and inform decision-making.
  • Support new clinic launches through operational readiness, timeline management, and coordination across departments.
  • Partner with leadership to identify opportunities for cost savings, productivity gains, and enhanced patient and employee experience.
  • Conduct regular operational reviews and audits to ensure alignment with company standards and policies.
Platform Innovation & Management
  • Serve as the operational lead for Skin Pharm’s clinic platforms, including BLVD, Practice Fusion, and future system implementations.
  • Collaborate with internal stakeholders and vendor partners to ensure platforms are optimized for workflow efficiency, data integrity, and user adoption.
  • Identify system gaps and propose solutions that support scalability, automation, and improved reporting.
  • Partner with cross-functional counterparts to evaluate, pilot, and implement new tools that advance clinic performance and patient experience.
Healthcare Compliance & Regulatory Oversight
  • Ensure all clinics operate in full compliance with applicable state, regional, and federal healthcare regulations.
  • Maintain oversight of provider licenses, certifications, and renewals across all markets; coordinate with People Operations to ensure timely updates.
  • Audit patient consent forms, documentation, and clinical records for accuracy and compliance with Skin Pharm standards and HIPAA requirements.
  • Partner with Regional and Practice Managers to implement consistent policies and procedures that align with medical board and local regulatory requirements.
  • Support new market entry by managing business registration, regulatory documentation, and compliance readiness.
  • Monitor and report compliance status across the network, identifying and addressing potential risks proactively.
Clinic Excellence & Performance
  • Partner with Regional and Practice Managers to drive accountability and results across clinics.
  • Monitor scheduling efficiency, resource utilization, and overall clinic profitability.
  • Support resolution of day-to-day operational challenges and cross-functional communication needs.
  • Provide oversight and support on inventory management, vendor relations, and supply forecasting.
  • Collaborate with leadership on clinic staffing plans, scheduling models, and provider coverage (including PTO coordination).
Key Account Relationship Management
  • Manage operational relationships with key external partners including Allergan, Galderma, and other vendors critical to clinic operations and growth.
  • Serve as the primary internal liaison for partnership activations, business reviews, and new program rollouts.
  • Track and optimize performance across rebate programs, training credits, and partnership ROI.
  • Collaborate with Marketing, Finance, and Clinical teams to ensure alignment on partner-driven initiatives and opportunities.
Cross-Functional Partnership
  • Act as a liaison between clinic teams and HQ departments—translating strategic goals into actionable operational plans.
  • Partner with Finance on budgeting and forecasting; collaborate with People Team on hiring, onboarding logistics, and compliance.
  • Work closely with Marketing and Product teams to ensure operational readiness for campaigns, promotions, and service launches.
  • Support development and rollout of new processes, ensuring adoption and accountability in the field.
Leadership & Communication
  • Provide RM’s with coaching tools to support Practice Managers and Client Coordinators in operational excellence, leadership, and problem-solving.
  • Promote a culture of ownership, collaboration, and continuous improvement.
  • Communicate clearly and consistently with teams to ensure alignment on priorities, updates, and expectations.

ABOUT YOU

  • 5+ years of experience in multi-unit or clinic operations, ideally within medical aesthetics, healthcare, hospitality, or consumer services.
  • Proven ability to build and optimize systems that scale; experience with BLVD, Practice Fusion, or similar platforms preferred.
  • Strong analytical skills and fluency in operational metrics.
  • Excellent communication, organizational, relationship-management, and leadership skills.
  • Thrives in a fast-paced, growing environment with shifting priorities.
  • Bachelor’s degree required; advanced degree a plus.
